GearVault helps musicians and studios keep equipment records, photos, receipts, valuations, and asset labels.
Information we process
When you sign in with Google, Google provides your account identifier, email address, name, and profile information. We use this to create and authenticate your GearVault account. GearVault does not request access to your Gmail, Google Drive, or contacts.
We process the profile details and equipment information you enter, including serial numbers, locations, values, service records, photos, and documents. Avoid uploading information you do not have permission to store.
How the service uses your information
Your information is used to maintain your account, display your inventory, provide uploads and exports, and operate and secure the service. Equipment records and uploaded files are restricted to your authenticated account. QR labels identify assets; scanning a label does not grant access to private records. Anyone you share an exported report or label with can see the information printed on it.
Service providers and optional features
GearVault uses Supabase for authentication, database records, and file storage, and Vercel for website hosting. Those providers process data needed to deliver and secure the service under their own policies. Google processes sign-in requests under Google's privacy policy.
If you purchase Pro, Stripe processes your payment and billing details. GearVault sends your sign-in email and an account identifier to associate your subscription with your account. We store Stripe customer and subscription identifiers, plan and payment status, and billing-period dates to provide access and manage billing. GearVault does not store full card numbers or send your equipment inventory, serial numbers, photos, or receipts to Stripe. See Stripe's privacy policy.
Browser text scanning processes images on your device. If server-based AI identification is enabled and you choose to use it, selected photos are sent to OpenAI to identify equipment and read visible text. This feature is currently unavailable on the public deployment. Uploading a photo to your inventory stores it in Supabase separately from text scanning.
Browser storage and retention
GearVault uses browser storage for sign-in sessions and local demo data or preferences. Account records remain stored until deleted or otherwise removed in operating the service. Deleted information may remain in provider backups or operational logs according to the provider's retention practices.
Your choices and contact
You can edit or delete equipment records and export your inventory. For account deletion, privacy questions, or requests concerning your information, contact brokenhornproductions@gmail.com. You can revoke Google access from your Google Account; revoking access does not itself delete stored GearVault records.
